To create a solution assigned to a email address which upon receipt of an email pinged out an automated response.

Choosing The Solution

A quick brain storm brought 3 methods to mind.

1. New user account in Active Direct – Out of Office Reply – With Rule
2. Additional account alias – Outlook Rules
3. New mail enabled public folder – Folder Assistant rules

Of course each method will have it’s pro’s and con’s, they can be found below.

Out of Office Reply

Pros – Quick + Easy to set-up, can be amended through Outlook web access
Cons – Requires a new user account and mailbox to be created (not great in SBS environment)

Additional Account Alias

Pros - managed under one outlook profile
Cons – additional mail needs to be handled and moved with rules – auto response rule is client only and requires outlook to be running in order to function correctly.

Mail Enabled Public Folder

Pros - Easy to create, can allow others to access contents easily, doesn’t require outlook to remain open
Cons –  yes

Of course you will always make your own mind up on which solution you will implement however for me the ‘Mail Enabled Public Folder’ was the clear winner in this one.

Implementing The Solution

To start so we don’t forget and start to rage that is isn’t working, we need to make sure that automatic reply’s are enabled within Exchange System Manager.
(Note this guide assumes the default view without routing and administrative group)

This is archived by:  Open up ‘Exchange System Manager‘  > Expand ‘Global Settings‘ > Select ‘Internet Message Formats‘ > right click ‘Default‘ and select properties > Click ‘Advanced‘ Tab > Ensure that ‘Allow automatic replies‘ is ticked > Press OK

Now on with creating the public folder – Expand Folders > Right click Public Folders > Mouse over New > Select Public Folder > Enter a Name (Note this name will also be the name shown on the reply’s) > Drop in a helpful description to keep things neat! and then hit OK > Give Exchange a couple of minutes to apply the recipient policy and populate the email address tab

Confirm Auto Response Email Address - Right click the public folder and select ‘Properties‘ >Open ‘E-mail Addresses‘ > Confirm the email address the public folder will listen on > Of Course Feel free to add multiple alias to suit your needs.

Set Permissions - Open the ‘Permissions‘ tab > Open ‘Client Permissions‘ > Ensure you add the name of the user who will manage the auto responder granting this user ‘Owner permissions‘ then hit ‘OK‘ >Open ‘Directory Rights‘ > Again add the user who will be managing the auto responder and grant ‘Full Control‘ (Note Make sure that this user has the send as permission)

One Last Thing – Head over to ‘Exchange Advanced‘ > Enter a ‘Simple Display Name‘ (Feel free to use the public folder name again) > Untick ‘Hide from Exchange Address Lists‘ > Hit Apply and OK

At this point the server side of the configuration is done. Take a breather and get ready to apply the final settings to your shiny new auto responder.

Onto the Client Outlook 2007 machine – Open up Outlook 2007 into Folder view > Expand Public Folders > All Public Folders > Find your ‘Mail Enabled Public Folder‘ > Right Click and select ‘Properties‘ > Provided you have set the correct permissions in ‘Exchange System Manager‘ you will see an ‘Administration Tab‘ open it > Open ‘Folder Assistant‘ > Open the ‘Add Rule…‘ window > Tick ‘Reply With‘ box and click ‘Template‘ > Fill in only the ‘subject‘ and the ‘body‘ of the message > Click the ‘Office Button‘ select ‘Save‘ then ‘Close‘ > Hit OK > You will be questioned “This rule will fire for all incoming messages. Is this what you want?” select Yes > Click OK then OK again

The automatic response is now Setup! All that’s left is to fire a test message to the email address you specified.
