<p style="padding-left:30px;">To create a solution assigned to a email address which upon receipt of an email pinged out an automated response.</p>
<p><span style="color:#99cc00;"><strong>Choosing The Solution</strong></span></p>
<p><span style="color:#99cc00;"><span style="color:#000000;">A quick brain storm brought 3 methods to mind.<br />
</span></span></p>
<p><span style="color:#99cc00;"> </span></p>
<ol>
<li>New user account in Active Direct &#8211; Out of Office Reply &#8211; With Rule</li>
<li>Additional account alias &#8211; Outlook Rules</li>
<li>New mail enabled public folder &#8211; Folder Assistant rules</li>
</ol>
<p>Of course each method will have it&#8217;s pro&#8217;s and con&#8217;s, they can be found below.</p>
<p style="padding-left:30px;"><strong><span style="color:#3366ff;"><span style="color:#ff9900;">Out of </span><span style="color:#ff9900;">Office Reply</span></span></strong></p>
<p style="padding-left:30px;"><em><strong>Pros &#8211; </strong><span style="font-style:normal;">Quick + Easy to set-up, can be amended through Outlook web access<br />
<strong><em>Cons &#8211; </em><span style="font-weight:normal;">Requires a new user account and mailbox to be created</span><em> (not great in SBS environment)</em></strong></span></em></p>
<p style="padding-left:30px;"><strong><span style="color:#ff9900;">Additional Account Alias</span></strong></p>
<p style="padding-left:30px;"><strong><span style="color:#99cc00;"><span style="color:#000000;"><em>Pros - <span style="font-style:normal;font-weight:normal;">managed under one outlook profile</span><br />

<p>Of course you will always make your own mind up on which solution you will implement however for me the &#8216;Mail Enabled Public Folder&#8217; was the clear winner in this one.<br />

<p><span style="color:#99cc00;"><strong>Implementing The Solution</strong></span></p>
<p>To start so we don&#8217;t forget and start to rage that is isn&#8217;t working, we need to make sure that automatic reply&#8217;s are enabled within Exchange System Manager.<br />
<em><span style="color:#ff9900;">(Note this guide assumes the default view without routing and administrative group)</span></em></p>
<p>This is archived by:  Open up &#8216;<strong><span style="color:#ff9900;">Exchange System Manager</span></strong>&#8216;  &gt; Expand &#8216;<strong><span style="color:#ff9900;">Global Settings</span></strong>&#8216; &gt; Select <span style="color:#ff9900;">&#8216;</span><strong><span style="color:#ff9900;">Internet Message Formats</span></strong>&#8216; &gt; right click &#8216;<strong><span style="color:#ff9900;">Default</span></strong>&#8216; and select properties &gt; Click &#8216;<strong><span style="color:#ff9900;">Advanced</span>&#8216;</strong> Tab &gt; Ensure that &#8216;<strong><span style="color:#ff9900;">Allow automatic replies</span></strong>&#8216; is ticked &gt; Press OK</p>
<p><strong><span style="color:#99cc00;">Now on with creating the public folder</span></strong> &#8211; Expand Folders &gt; Right click Public Folders &gt; Mouse over New &gt; Select Public Folder &gt; Enter a Name <em><span style="color:#ff9900;">(Note this name will also be the name shown on the reply&#8217;s) <span style="color:#000000;">&gt; <span style="font-style:normal;">Drop in a helpful description to keep things neat! and then hit OK &gt; Give Exchange a couple of minutes to apply the recipient policy and populate the email address tab</span></span></span></em></p>
<p><em><span style="color:#ff9900;"><span style="color:#000000;"><span style="font-style:normal;"><span style="color:#99cc00;"><strong>Confirm Auto Response Email Address</strong></span> - <span style="font-weight:normal;">Right click the public folder and select &#8216;</span><strong><em>P</em></strong><strong><em>roperties</em></strong><span style="font-weight:normal;">&#8216; &gt;Open &#8216;</span><strong><em>E-mail Addresses</em></strong><span style="font-weight:normal;">&#8216; &gt; Confirm the email address the public folder will listen on &gt; Of Course Feel free to add multiple alias to suit your needs.</span></span></span></span></em></p>

<p><em><strong><span style="color:#99cc00;">Set Permissions <span style="color:#000000;">- <span style="font-weight:normal;">Open the &#8216;</span>Permissions<span style="font-weight:normal;">&#8216; tab &gt; Open &#8216;</span>Client Permissions<span style="font-weight:normal;">&#8216; &gt; Ensure you add the name of the user who will manage the auto responder granting this user &#8216;<span style="color:#ff0000;"><strong>Owner permissions</strong></span>&#8216; then hit &#8216;</span>OK<span style="font-weight:normal;">&#8216;</span><span style="font-weight:normal;"> &gt;Open &#8216;<span style="color:#ff0000;"><strong>Directory Rights</strong></span>&#8216; &gt; Again add the user who will be managing the auto responder and grant &#8216;</span>Full Control<span style="font-weight:normal;">&#8216; <em><span style="color:#ff9900;">(Note Make sure that this user has the send as permission)</span></em></span></span></span></strong></em></p>
<p><span style="color:#ff9900;"><span style="color:#000000;"><span style="color:#99cc00;"><span style="color:#000000;"><span style="color:#000000;"><strong><span style="color:#99cc00;">One Last Thing</span> &#8211; </strong>Head over to &#8216;<strong>Exchange Advanced</strong>&#8216; &gt; Enter a &#8216;<strong>S</strong><strong>imple Display Name</strong>&#8216; <span style="color:#ff9900;"><em>(Feel free to use the public folder name again)</em></span> &gt; Untick &#8216;<strong>Hide from Exchange Address Lists</strong>&#8216; &gt; Hit Apply and OK</span></span></span></span></span></p>
<p><span style="color:#ff9900;"><span style="color:#000000;">At this point the server side of the configuration is done. Take a breather and get ready to apply the final settings to your shiny new auto responder.</span></span></p>
<p><span style="color:#ff9900;"><span style="color:#000000;"><span style="color:#99cc00;"><strong>Onto the Client Outlook 2007 machine</strong></span> &#8211; Open up Outlook 2007 into Folder view &gt; Expand Public Folders &gt; All Public Folders &gt; Find your &#8216;<strong>Mail Enabled Public Folder</strong>&#8216; &gt; Right Click and select &#8216;<strong>Properties</strong>&#8216; &gt; Provided you have set the correct permissions in &#8216;<strong>Exchange System Manager</strong>&#8216; you will see an &#8216;<strong>Administration Tab</strong>&#8216; open it &gt; Open &#8216;<strong>Folder Assistant</strong>&#8216; &gt; Open the &#8216;<strong>Add Rule&#8230;</strong>&#8216; window &gt; Tick &#8216;<strong>Reply With</strong>&#8216; box and click &#8216;<strong>Template</strong>&#8216; &gt; Fill in only the &#8216;<strong>subject</strong>&#8216; and the &#8216;<strong>body</strong>&#8216; of the message &gt; Click the &#8216;<strong>Office Button</strong>&#8216; select &#8216;<strong>Save</strong>&#8216; then &#8216;<strong>Close</strong>&#8216; &gt; Hit <strong>OK</strong> &gt; You will be questioned <span style="color:#ff9900;"><em>&#8220;This rule will fire for all incoming messages. Is this what you want?&#8221;</em></span> select <strong>Yes</strong> &gt; Click <strong>OK</strong> then <strong>OK</strong> again</span></span></p>
<p><span style="color:#ff9900;"><span style="color:#000000;">The automatic response is now Setup! All that&#8217;s left is to fire a test message to the email address you specified.</span></span></p>
